Your profile — the people portal

The profile page at /me/profile shows you what the trust holds about you in the people register — the same data your line manager, HR, and the SCR see.

  • Your record — name, work and personal email, phone and mobile, plus your emergency contacts.
  • Your role — job title and department, taken from your active engagement.
  • Your qualifications — anything recorded in the people register against you, with the awarding institution, the date awarded, and whether it’s your QTS.
  • Your appraisals — cycle, scheduled date, status and outcome.
  • Your CPD log — courses with provider, category, hours, and completion date.

If your trust doesn’t have a person record for you (e.g. you’ve just signed in for the first time after SSO provisioning), the page tells you and points you at HR.

The page has an Export my data button. Clicking it builds the same kind of Article 15 / Subject Access bundle the DPO assembles via the DSAR console, scoped to you, and downloads it straight away as a JSON file (my-keystone-data.json). Your NI number is included (it’s your own data); HR’s confidential notes are not, because those are HR’s perspective, not yours.

This is your right under UK GDPR Article 15, free of charge, no questions asked. The trust shouldn’t refuse it.

The portal is read-only — you can’t edit your own record. That’s deliberate; the people register is the legal record of employment relationships. If something’s wrong, raise a ticket marked HR.

For names changes (marriage, deed poll), provide evidence. For role changes, your line manager can usually update directly without involving HR.

  • Other people’s data — even your own line reports, you don’t see their full records here. Use the agent-side surface if your role permits.
  • Confidential HR notes flagged as such — those are gated on people::confidential::view and don’t appear on your self-service page.
  • Pay / payroll details — those live in your payroll system, not here.
  • The export downloads on the spot as a JSON file — there’s no email and no waiting in a queue. If the download is empty or errors, your account probably isn’t linked to a person record yet; speak to HR.
  • The page data is current as of the page load. A line manager change made just before you opened the page may not be there yet — refresh.
